Background

The purpose of this notification is to set out some information regarding the collection and processing of your information by Monaghan County Council.  During the course of our activities we will collect, store and process personal data about our customers. Monaghan County Council is the data controller in respect of this data.

Monaghan County Council creates, collects and processes a significant amount of ‘personal data’ and ‘sensitive personal data’ in various multiple formats daily. Our commitment is to ensure that the personal data supplied is:

  • Obtained lawfully, fairly and in a transparent manner
  • Collected for only specified, explicit and legitimate purposes,
  • Adequate, relevant and limited to what is necessary for the purpose for which it was obtained,
  • Recorded, stored accurately and where necessary kept up to date,
  • Kept for no longer that is necessary, and, in a form, which permits identification of the data subject,
  • Processed in a manner that ensures the appropriate security of the personal data including protection against unauthorised or unlawful processing of the data.

What data we collect and process

The types of personal data that we will collect and process includes Name, Address, Email Address, Phone Number, genealogical data.

Why do we collect this personal data?

We collect and process this information in order to provide a local history and genealogy service. The contact details will be used for communication with the customer and any further information requested will be to verify the identity of the customer before personal data is released as part of the local history / genealogy service.

Lawfulness of processing

Processing this data is necessary for the performance of a task carried out in the public interest and in exercise of official authority vested in us as the controller Monaghan County Council [Article 6(1)(e) of the General Data Protection Regulations, 2016].

Sharing of Personal Data

Monaghan County Council may, from time to time, have to share personal data with other local authorities, organisations or entities in Ireland who assist us in fulfilling our functions. Where this is necessary Monaghan County Council shall have regard to the security and integrity of the data and will minimise the data shared.

It is not intended the data obtained and processed for this activity will be shared with a third party or entity.

Retention of Personal Data

The data obtained and processed as part of this activity will be retained until the individual query has been dealt with. Records will be destroyed after the retention period has expired.

You have the right to request access to personal data held about you, obtain confirmation as to whether data concerning you exists, be informed of the content and source of data and check its accuracy.
